Chair Descriptions
Chair People 2011/2012
Roller Skating Chairperson
This position entails running the skating program one Friday for 4 months (not always consecutive) during the school year. This program needs two chair people, one to run the skating portion and the other to run the concession stand. The skating chair position entails setting up the skating dates with the skating company. This person will also need to get volunteers to help supervisor the skaters and sell tickets. Tickets are sold on Thursday and Friday mornings (the day before the event and the day of the event). Capacity is limited and we usually sell out! Tickets run for $5.00, which includes skate rental and a drink at the snack bar! The other skating chair position entails supplying, running and getting volunteers for the concession stand. Both chairs are responsible for reporting back to the board after each event takes place.
Snow Cones/Popcorn Chairperson
This event runs during the children’s lunch time, and it is usually once a month. The cost is a $1.00 each. This year we are trying something new, during the colder months we are having popcorn and in the warmer months we will have snow cones. First you need to secure snow cone/popcorn dates. You would also need to advertise the snow cone event. To run snow cones you would need to buy snow cone supplies and get volunteers to run the event. The same applies for popcorn. In January through May all snow cone popcorn events are given to each grade level and you are to help guide the teacher’s with what they need to do in order to run their event. Both chairs are responsible for reporting back to the board after each event takes place.
Bookfair chairperson
This individual runs the Scholastic Book fair in conjunction with open house in September. This person is responsible for getting the book fair delivered to the school, setting up the book fair, advertising in the school for the book fair, getting volunteers to run the book fair and breaking down the book fair. You would also need to report back to the board after the event has run.
Co-op Chairperson
The co-op chair gets the flyers from the co-op and delivers them via teacher mailbox to the students. This person needs to gather orders, turn orders in and set-up delivery time with the co-op of the products purchased. You also need to keep the board informed monthly of how the Co-op is doing.
Box Tops Chair
The Box Top chair collects the Box Tops that are brought into the school and submits them to Box Tops. The Box Tops need to be cut to the appropriate size for submission. This individual will also be responsible for making sure the school community is aware of this program, in other words advertising. You need to keep the board updated on the points from Box Tops.
Campbell’s Soup Labels Chair
The Campbell’s Chair gathers soup labels from their collection box, trimmed if necessary and submitted to Campbell’s. This person will also need to advertise within the school to keep parents aware that this is an ongoing fundraiser. You also need to keep the board updated on how many Campbell’s points we have.
Tyson Food A+ Program
The chair for this program collects Tyson labels that are sent in and trims them if necessary and submits them to Tyson. This individual will also need to make the public aware of this ongoing fundraiser. In addition you need to keep the board abreast of how the program is going on a regular basis.
Price Chopper Tools For School Chair
This chair position entails creating awareness for the Tools for School program throughout the Red Mill Community and signing individual’s Price Chopper advantage card up with Red Mill as the beneficiary of the Tools for Schools points. You also need to report to the board the points we have earned from Tools for School as the program progresses through the school year.
Hannaford Helps Chair
This chairperson collects the returned Hannaford coupons and submits them to Hannaford for redemption. This person will also be responsible for advertising this program to the Red Mill community and updating the board on how much money the PTO has earned through this program
Target Red Card Chair
This person is responsible for creating awareness of the program throughout the school and collecting information from Target to present to the board.
Bulletin Board Chair
This person has a creative job of keeping the PTO bulletin board decorated throughout the school year with events, fundraiser information, etc.
School Banking Chair
This position entails working with First Niagara Bank, collecting deposits from children one day a week throughout the school year and taking said deposits to the bank. This individual also needs to secure volunteers to help out on banking days and advertise the banking program in the school. The board would like regular progress reports regarding the success of this program.
Red Mill Sportswear Chair
This chair position creates flyers with sportswear items to sell to the school community. They would collect orders, remit orders and distribute orders. They would also be responsible for attending or getting volunteers to help sell sportswear at certain events throughout the school year. You also need to provide the board with updates on how sales are.
KidsKorner Chair
This chair position is to run the KidsKorner sale during the holiday season. This individual would need to secure goods for sale through a vendor, set up the KidsKorner, get volunteers to help sell products and to break down the KidsKorner when it is over. You also need to provide the board with how successful the event was.
Radio Disney Dance Chair
The chair person for this event secures a date for the Disney Dance, if one has not been secured already, getting supplies for the concession stand, getting party items to sell and most important getting volunteers to help assist before, during and after the event. You also need to advertise and sell tickets to the event. The cost is to be determined once a contract is received from the Disney Dance people. Once the event is over you need to let the board know how much profit was earned during this event.
Artwork Chair
This chair works with the Art teacher. The Art program entails getting artwork from the children sent to a company who then creates flyers of the child’s artwork that is distributed to the parents. The flyers contain many items that the artwork can be printed on, such as coffee cups, notepads, and garden flags just to name a few. Once the orders are returned the chair submits them to the company. The orders are then shipped back to the school and it is the chairs responsibility to distribute them to the parents. You will need to be in contact with the board with updates on how the program went.
Kindergarten Registration Chair
This position entails helping incoming Kindergarten parents register their child for Kindergarten, you would need to photocopy their paperwork and turn it in to the office. You would need to secure volunteers and supplies for the day. You also need to work with the board by letting them know how the event went.
Bus Driver Appreciation Chair
Each year the district has a bus driver appreciation week. Collectively the PTO’s have held a breakfast at the bus garage to thank the bus drivers. The chair for this event will work with the East Greenbush Elementary, Goff Middle School and Columbia High School PTO’s in coordinating the breakfast. They need to plan what to eat and get a volunteer from Red Mill to help set up at the bus garage. Each PTO should send in a volunteer to help with this endeavor. You also need to work with the board by letting them know how the event went.
Yearbook Chair
This position usually has two chairs. The main focus is to get pictures together from many different sources, have each class and special events represented as much as possible in the yearbook. You would work with a yearbook company who would provide you with tools to create templates for each page in the yearbook using their web based program. You would need to be aware of deadlines for yearbook submission and have the yearbooks finished product available on the first day of June. You would also need to advertise and sell yearbooks throughout the school year and possibly at school events.
Picture Chair(s)
This position also has two chair people. The chair(s) for this event would need to work with a yearbook company to take pictures of all classes and staff, for sending home information on how to purchase pictures and distributing pictures when the orders are returned from the company. You would also need to secure volunteers to help on picture and make-up picture day.
Santa’s Breakfast Chair(s)
This event is broken down into three different chair positions
Chair #1, the breakfast
This individual gets donations from vendors in the area and purchases supplies that were not donated.
Chair #2, the craft fair
This chair reaches out to the community and secures crafters for craft fair that runs in conjunction with the breakfast
Chair #3, getting volunteers & setting up
This chair gets volunteers to help set up the breakfast the night before, serve during the breakfast, help Santa at the craft fair and help clean up after the breakfast is over.
Website Chair
This chair is responsible for keeping the PTO’s website updated with current events, distributing to board members any emails that come in, and uploading the minutes and agenda’s to the web site.
Volunteer Chair
This chair person collects volunteer information during the Welcome Back Picnic. You would need to print up sheets asking for volunteers for events through out the year. Then you collate the information into the different events and distribute to the chairs for those events. You need to get the book fair list out immediately because that is usually within the next two weeks.
Go Green Chair
This position sends email blasts out to participating families and all Red Mill Staff instead of them receiving paper notifications of events. You will work in conjunction with all chairs and the PTO Board. You will be responsible for providing the hard copies of emails to parents who do not want to receive email notifications by stuffing the teacher’s mailboxes.
Grandparent/ Special Friends Day Chair
This chair will get volunteers for Grandparents day; and get coffee, doughnuts or another treat for the Grandparents/Special Friends visiting the school.
Red Mill Council Chair
This individual will sit in on the Red Mill Council and act as a liaison between the PTO and the council.
5th grade Events Chairs
There are two chair positions
1. Moving up day Chair
This chair will get supplies for the moving up day picnic and get volunteers to help set-up, serve and clean-up on moving up day. Due to this momentous occasion of this day we hope that Kindergarten through 4th grade parents will help out with this event so the outgoing class’s parents can enjoy the day.
2. T-shirt Chair
This chair will get the sizes of each child in the 5th grade class, order t-shirts and distribute t-shirts.
Library Committee
The Library committee was created to provide the Redmill Library with volunteers on those school days where there are limited staff. These volunteers will assist students with checkingout and shelving books and providing information on library resources. The hours needed for this committee are varied during school hours. Any block of volunteer time is much appreciated.
Movie Night Chair
Coordinates ticket sales and concession for Family Movie Night held at Genet Auditorium in the fall and winter on Friday evenings. Dates for Movienights are coordinated with the PTO Board. A building use form for Movie Night must be submitted to the Red Mill office.
